Patient Manager
The shared patient record every Newbula module builds on — and the place your team manages it.
Overview
Patient Manager is your organization's roster. Each patient has a full profile — demographics, contacts, member IDs, status, and consent flags — plus tabs for notes, visits, documents, and a communications timeline. Search covers names, phone numbers, and member IDs, and filters narrow the roster by status (active, inactive, disenrolled, deceased).
Working with a patient record
- 1
Find the patient
Use the search bar (name, phone, or member ID) or filter the roster. Results paginate 50 per page.
- 2
Review the profile
The header shows demographics and status; tabs below hold notes, visits, documents, and the timeline.
- 3
Add what happened
Log a note with the right category, record a visit with its type and provider, or attach a document.
- 4
Check the timeline
Calls, faxes, and emails involving the patient appear automatically — you rarely need to ask “who contacted them last?”
Notes, visits, and documents
| Feature | What it does |
|---|---|
| Notes | Color-coded categories: Clinical, Administrative, Follow-up, Insurance/Billing, and Personal — so the right staff spot the right context fast. |
| Visits | Annual wellness, follow-up, urgent care, specialist, telehealth, and other visit types, each with provider and date. |
| Documents | File attachments stored on the patient — records responses, forms, consents. |
| Timeline | A chronological view of communications and events linked by phone number and record activity. |
Beyond the basics
- Patient map — switch the roster to map view to see geocoded patient locations; addresses geocode automatically when saved.
- Medications & immunizations — clinical trackers that live alongside the record.
- Prospects — track prospective members in their own pipeline until they enroll.
- PCP manager — assign and manage primary care providers across the panel.
- Facilities & providers — the shared directory used by records requests and referrals.
Import and export
Bring your panel in from CSV or Excel with the bulk importer, and export the roster with all fields to either format. For mass corrections, Data Adjustments accepts a file upload and applies changes in bulk with validation.
Bulk changes are powerful — review the validation summary before confirming a data adjustment, and export a backup of the roster first if you're unsure.
How it connects
Calling lists in AI Voice & Outreach are built from this roster; rides in Transportation belong to these patients; and Risk & Quality analytics score this panel. Consent flags on the record govern automated calling.
